A PEF account is the top level user account within a Trust/PVI. They can access all data within their trust, manage ward managers, student links and mentors. PEFs will receive notifications relating to issues affecting the evaluation, timesheet and PAR. A PEF can assign a mentor to a student using an online assessment document.

A PEF has the following access rights:

• Evaluation Ratings & Stats:
  Trust wide access
• Evaluation Comments & Action Plans:
  Can access all comments trust wide, can tag comments and create action plans
• PAR Documents:
  All student documentation with a practice experience at the trust
• Timesheets:
  Can see all student timesheets linked to their trust
• Manage Users:
  Can add team managers, student links & mentors, as well assign them to placement areas
• Reports:
  Full access, Trust wide

Team/Ward Managers are responsible 1 or more placement areas, they manage the mentors and student links within these placement areas. They can review student comments and see the placement ratings for each placement they are assigned to. Team Managers also have access to any PAR documents and timesheets linked to their placement area(s).

Team Managers have the following access rights:

• Evaluation Ratings & Stats:
  Can only see assigned placement areas only
• Evaluation Comments & Action Plans:
  Can only see assigned placement areas only, can tag comments and create action plans relating to their assigned placement area(s).
• PAR Documents:
  Assigned placement area(s) only
• Timesheets:
  Assigned placement area(s) only
• Manage Users:
  Can add mentors and student links, as well as assign them to a placement area within the trust.
• Reports:
  No Access

A Student Link is responsible for managing mentors in 1 or more placement areas, under the guidance of their team manager. A Student Link can assign mentors to a student using an online assessment document.

Student Links have the following access rights:

  No Access
• Evaluation Comments & Action Plans:
  No Access
• PAR Documents:
  Assigned placement areas only
• Timesheets:
  Assigned placement areas only
• Manage Users:
  Can add mentors and assign them to any placement area within the trust
• Reports:
  No Access

A Mentor account grants a user access to their assigned student's online documentation and timesheet. A Mentor's role is liase with their students whilst on placement and work with the student to complete and sign parts of the online document and PAR. Assessments and within the placement area the mentor is assigned to. Mentors use the system to complete online assessment documents, sign-off timesheets and help the student during their time on placement.

A Mentor has the following access rights:

  No Access
• Evaluation Comments & Action Plans:
  No Access
• PAR Documents:
  Assigned placement areas only, access revoked once the student leaves the placement area
• Timesheets:
  Assigned placement areas only, access revoked once the student leaves the placement area
• Manage Users:
  No Access
• Reports:
  No Access

A HEI Admin account is the top level account within a HEI. A HEI Admin is responsible for the management all users within the university, A HEI Admin can access a broad range of reporting functions.

Some HEI Admins have extra functionality to allow placement records to be imported, this is generally only granted to placement office staff

A HEI Admin has the following access right:

• Evaluation Ratings & Stats:
  All student data for the HEI
• Evaluation Comments & Action Plans:
  All students in same HEI. Can see all HEI created action plans. Can only view PEF action plans if permission explicitly granted by PEF.
• PAR Documents:
  All student documents in the same HEI
• Timesheets:
  Read-only access to all students timesheets in same HEI.
• Manage Users:
  Can add academic links and assign them to placement areas
• Importing Students (CSV):
  Has access if it has been granted by the PARE Team
• Reports:
  HEI wide reports

Academic Links are assigned to their designated placement areas. Academic Links can monitor online documentation, timesheets and evaluations of students from their university attending their assigned placement areas

An Academic Link's main role is oversight to ensure students are completing their assessment documents and timesheets. If a problem does arise in a placement area, they have the tools to put an action plan in place.

An Academic Link has the following access rights:

• Evaluation Ratings & Stats:
  Assigned placement areas, students in same HEI only.
• Evaluation Comments & Action Plans:
  Assigned placement areas only (can only see students in same HEI). Can create/view action plans for assigned placement areas.
• PAR Documents:
  Assigned placement areas only (can only see students in same HEI).
• Timesheets:
  Assigned placement areas only (can only see students in same HEI).
• Manage Users:
  No Access.
• Importing Students (CSV):
  No Access.
• Reports:
  No Access.

A Student has the following access rights:

• Evaluation Ratings & Stats:
  No Access.
• Evaluation Comments & Action Plans:
  A student can only see the outcome of an action plan if their comment was included and the action plan has had student summary added to it.
• PAR Documents:
  Only their own.
• Timesheets:
  Only their own.
• Manage Users:
  No Access.
• Importing Students (CSV):
  No Access.
• Reports:
  No Access.
